A. General FAQs

  1. I registered before the early-bird deadline. Can I still pay the early-bird fee after the deadline?
    No. Early-bird rates apply only to payments completed before the deadline, regardless of the registration date.

  2. I cannot pay by credit card. Are there alternative payment options?
    Yes. Payment can also be made in cash on site or via your institution, using a valid VAT number.

  3. Can I register and pay the registration fee on-site during the event
    Yes, on-site registration and payment will be possible. However, we strongly recommend registering in advance, as on-site registrants will not receive a personalized ID badge and conference merchandise.

  4. Is there a preferred accommodation I can book through the Congress website
    Accommodation booking is not available through the Congress website. However, you may contact our partner agency, Impala, at office@impalayu.com for accommodation suggestions.

  5. Can I receive a refund if I am unable to attend?
    Refunds are possible. Please refer to the Refund Policy section on the website for detailed information.

  6. I have special accessibility needs or dietary requirements. Can these be accommodated?
    Yes. Please indicate any accessibility needs or dietary restrictions during registration, and we will ensure they are taken into account in our planning, including catering arrangements.

  7. Where can I find information about the Social Program? Are social events included in the registration fee?
    The Social Program will be announced together with the final SETCoMS2026 program and schedule. Tickets for social events are included in the registration fee, unless stated otherwise.

  8. Where can I find information about the Congress program and schedule?
    The full Congress program and schedule will be published on the website once finalized.

  9. What parking options are available at the venue?
    Parking will not be available at the venue, as it is located in a busy area of the city center. We recommend using public transportation or nearby public parking facilities.

  10. I booked the recommended hotel. Will shuttle transportation be provided to the venue?
    Shuttle transportation will not be provided, as the recommended hotel is located within a 5–10 minute walking distance from the venue.

  11. Where are the keynote sessions, individual sessions, and the exhibition area located?
    All Congress activities will take place at Dom Omladine, located at the corner of Dečanska and Makedonska streets. Address: Makedonska 22, Belgrade.

B. Abstracts FAQs

  1. Can I submit an abstract that has already been published or presented at another event?
    No. Submitting or presenting the same abstract at multiple events is strongly discouraged. All submissions should represent original work prepared specifically for this conference.

  2. How do I submit an abstract?
    Abstracts must be submitted via the Indico platform. Detailed instructions are availableon our website (Registration → Abstracts → Abstract Submission Guidelines).

  3. How many abstracts can I submit?
    There is no limit to the number of abstracts you may submit.

  4. My research project is still ongoing and includes only preliminary results. Can I still submit an abstract?
    Yes. If your research topic is relevant to the conference themes, you are welcome to submit an abstract presenting preliminary data.

  5. If my abstract is accepted, where will it be published?
    All accepted abstracts will be published in the official SETCoMS2026 abstract book.

  6. What’s the abstract submission deadline?
    The deadline for abstract submission is February 25, 2026.

  7. Where can I find the guidelines on how to prepare the abstract?
    Abstract preparation guidelines are provided in the official abstract template (SETCoMS_abstract_template_2026.docx), available for download on the Indico website. Use of this template is mandatory for all submissions.

C. Grants FAQs

  1. How can I apply for a grant, and what are the eligibility criteria?
    You can apply for a grant during the registration process by selecting the option to apply and submitting your motivation letter and CV through the registration form. Priority will be given to PhD candidates and early-career researchers. To be eligible, applicants must be from a country that is a member of FEMS Member Societies.

  2. What expenses are covered by the grant?
    The grant covers the conference registration fee and accommodation. Travel and other personal expenses are not included.

  3. What happens if my grant application is approved? How will I be informed, and who arranges the accommodation?
    All applicants will be notified by email about the status of their application. For the Grant Awardees, the Organizing Committee will arrange the accommodation and provide you with all relevant details, including the hotel name, address, and additional practical information.
