These Terms and Conditions govern the registration and payment of congress registration fees for participation in the 1st South-East Transnational Congress of Microbial Sciences (SETCoMS 2026). By registering and/or paying the registration fee, the participant confirms that they have read, understood, and accepted these Terms and Conditions.

2. Service Description

The service provided is conference participation (registration fee) for SETCoMS 2026.

The registration fee includes the services and benefits specified within the selected registration category (such as access to scientific sessions, congress materials, certificate of attendance, and other announced benefits).

Conference registration constitutes an intangible (non-material) service. No physical goods are sold through the registration system.

3. Pricing and Currency

All payments shall be made in the local currency of the Republic of Serbia – Serbian Dinar (RSD).

If prices are displayed in other currencies (EUR, USD, etc.), such values are shown for informational purposes only and calculated using the applicable exchange rate (for example, the middle exchange rate of the National Bank of Serbia).

All payments will be effected in Serbian Dinar (RSD). If prices are shown in other currencies, they are for informational purposes only. The amount your payment card will be charged will be expressed in your local currency through conversion at the exchange rate used by card organizations, which cannot be known to us at the time of the transaction. As a result, there may be a slight difference between the original price stated on our website and the amount charged. Thank you for your understanding.

VAT status is indicated where applicable in accordance with Serbian law.

4. Payment Methods

Registration fees may be paid using:

• Online card payment (Visa, MasterCard, Maestro and other supported cards) via a secure payment processor.
• Proforma invoice (bank transfer), issued by the Organizer’s accounting department upon submission of a proforma request.

For online card payments, payment card information is entered on secure pages of the authorized payment processor. Confidential data is transmitted in encrypted form using SSL protocol and modern cryptographic technologies. The Organizer does not have access to full payment card details at any time, nor are such details stored by the Organizer.

For payments made via proforma invoice, registration is considered confirmed only after the funds have been received in the Organizer’s bank account.

5. Registration Confirmation

After successful online payment, the participant will receive a confirmation email containing registration reference details and payment status.

If online payment is unsuccessful, the participant’s card will not be charged.

For proforma invoice payments, confirmation will be sent once the bank transfer has been received and recorded.

6. Cancellation and Refund Policy

Cancellations made up to 30 days before the event will receive a 50% refund.

Cancellations within 15–30 days before the event will receive a 25% refund.

No refunds will be issued for cancellations made less than 15 days before the event.

Where a refund is approved and the original payment was made by card, the refund will be processed exclusively to the same payment card used for the transaction, by reversing (storno) the original transaction, in accordance with card scheme rules. Refunds cannot be made in cash or transferred to a different card or bank account.

Failure to attend the congress without timely written cancellation (“no-show”) does not entitle the participant to a refund.

The Organizer reserves the right to make reasonable changes to the congress program, schedule, speakers, venue, or format. In the event of congress cancellation by the Organizer, participants will be informed promptly and refund procedures will be communicated accordingly.

7. Privacy and Personal Data Protection (GDPR)

The Organizer processes personal data solely for the purposes of:

• Registration administration and participant identification
• Payment processing and accounting compliance
• Communication related to SETCoMS 2026 (confirmations, invoices, practical information)
• Issuing certificates of attendance (where applicable)

Processing of personal data is based on:

• Performance of a contract (registration)
• Compliance with legal obligations (accounting and tax regulations of the Republic of Serbia)
• Consent, where applicable (e.g., marketing communication)

The Organizer collects only data necessary for the stated purposes and does not process excessive personal data.

Personal data may be shared only with service providers necessary for payment processing and IT support, as well as competent authorities where required by law.

Payment card data is processed exclusively by the authorized payment processor. The Organizer does not store or have access to full card details.

Personal data is retained only for as long as necessary to fulfill the purposes stated above and in accordance with legally prescribed retention periods.

Participants have the right to request access, rectification, erasure, restriction of processing, objection, and data portability, in accordance with applicable data protection regulations. Where processing is based on consent, consent may be withdrawn at any time.

8. Complaints and Jurisdiction

These Terms and Conditions are governed by the laws of the Republic of Serbia. Any dispute that cannot be resolved amicably shall fall under the jurisdiction of the competent court in the Republic of Serbia.
